MULTILINGUAL MANAGEMENT ASSISTANT

 

THE COMPANY

The consulting agency G.D.B. CONSULTING supports in Europe and Africa, business leaders, actors of the economic development of territories, public actors and private investors in their development strategy, the management of human resources and more generally the strategic organization of their entities. 

G.D.B CONSULTING recruits on behalf of its client based in BENIN two bilingual or trilingual assistants (Fr-En and/or Mandarin)

PROFILE TYPE :

 He/she has a BAC+4 (minimum), Master's degree or equivalent in business administration, political science, business school, administration or in a related discipline, supplemented by training / experience in sustainable development, administration / office management of high personality. 

He/she must be fluently bilingual, have at least ten (10) years of relevant experience and have worked at increasing (national) levels of responsibility or in an international organization.

MISSIONS :

Under the authority of the Hierarchical Superior, the Executive Assistant works independently and with a high degree of diplomacy. He/she assists his/her supervisor in the administrative management of the structure's activities and internal projects.

With a good general knowledge, he/she collects and processes information and will communicate it using the technological solutions chosen in terms of computer equipment. He/she organizes and coordinates activities on behalf of his/her supervisor.

Particularly sensitive to the confidential nature of the structure's information, the nature of the position may regularly require high availability. The main activities of the incumbent include, but are not limited to, the following:

  • Office administration;
  • Manage travel formalities, obtaining visas and/or hotel reservations for senior officials of the organization during business trips;
  • Conduct periodic short-term missions within or outside the country with senior management or senior officials of the organization to carry out the same offshoring tasks related to the position;
  • Answer questions from other members of the organization;
  • Filter telephone calls and requests and manage them appropriately;
  • Welcome and maintain visitors;
  • Organize and manage electronic calendars and make appointments;
  • Support secretariat services for other staff and assist them in the production of their direct reports;
  • Provide administrative support by liaising with the General Services Department on facilities management, materials allocation, equipment;
  • Request repair and maintenance work and ensure follow-up to ensure that it has been completed:
  • Design and prepare the various administrative documents and forms such as staff lists, staff travel, staff absences (leave, exceptional absences and maternity leave) and statistical data on staff members, if necessary;
  • Coordination of the structure's events;
  • Organize seminars, meetings, meetings. These events may involve missions abroad,
  • Organize and participate in the various meetings, events and partnership lunches in order to ensure proper logistical management;
  • Workflow management/exchanges with stakeholders;
  • Design and manage effective office work organization systems,
  • Track documents,
  • Manage the arrival of regular mail, e-mail and fax,
  • Compile the organization's newsletters for quarterly publication;
  • Manage systems; create and process expense reports from the organization's authorities at the highest level;
  • Assist the organization's senior management in managing resource issues such as the administrative budget,
  • Monitor and review expenditures and draw the attention of management to potential difficulties;
  • Participate in the preparation of the annual and mid-term budget review by entering and monitoring data.
